Organising Events with Music

The event organiser must always report to us the information about events organised under the Event Licence and the Licence for Live Streaming. Reporting the information is worthwhile: if you submit your notifications in good time, you will receive an invoice that is based on the actual proceeds from ticket sales or the number of attendees as well as a 3% discount. If you do not report the information, we invoice the fee for using music with an estimated invoice, which is always be higher than an invoice based on reported information.

The performer’s primary responsibility is to submit performance notifications, i.e. to report music-related information (which songs were performed, who their authors are). This applies in particular to cover artists and bands who perform music created by others. Performers report music-related information by submitting a performance notification on our web service.

However, in some cases, the event organiser also reports music information. Examples of such cases are:

• orchestra concerts
• concerts organised by educational institutions with pupils or students as performers
• singalong events organised by municipalities and parishes or other events where the municipality’s residents or the parish’s members perform music
• music for stage performances
• performances by foreign bands and orchestras

• Go to our web service extranet.teosto.fi or click E-Services in the top right corner of this website.
• Log in to the service with the login credentials you received by secure e-mail.
• In the pink Event Licence box, click the Submit report/confirmation button.

Creating a new report

• Click Create new event button.
• Enter the requested information (click Continue to move forward in the form).
• If necessary, you can edit the information you have saved by clicking the event name and then the Edit Event button

If you are reporting information before the event, leave the event in the Information missing status. That way, you can report and confirm the actual information after the event. Events that you have saved as incomplete can be found in the Incomplete events section.

Confirming previously reported information

• Scroll to the Incomplete events list and click the event name.
• Click the Edit Event button and enter the required information.
• Click Confirm.

When you have edited all information to make it correspond to the actual information, click the Confirm button. If the button is hidden, there is some information missing.

PLEASE NOTE! Once you have confirmed the information you have entered by clicking the Confirm button, you will no longer be able to supplement or edit the information. If you notice an error in the information, please contact our customer service.

Information must be reported and confirmed by the 15th of the following month. PLEASE NOTE! Information must be reported also for the months when no events have been organised. In this case, select No events this month.

After reporting all information for a month, also remember to confirm it by clicking Confirm events of the month. If you do not confirm the information, it will not be transferred to us.

• Go to our web service extranet.teosto.fi or click E-Services in the top right corner of this website.
• Log in to the service with the login credentials you received by secure e-mail.
• In the light-blue Restaurant licences box, click the Submit monthly report button
• Select the venue for which you want to report information (click on the venue name).
• Select the month for which you want to report information (click the month name).
• If you have not arranged any events in certain month, open the month and select No events this month at the bottom of the reporting page.

Recorded music (upper report section)

• In the Enter the number of events field, enter the number of karaoke, DJ and disco events organised during the month in question.
• If the event is a live gig where also recorded music (e.g. as background music before and after the gig) is played, do not report the recorded music as a separate event. In these cases, the fee paid for live music also covers recorded music, so all you need to do is report the live gig.
• If there are two separate events (e.g. first a live gig and then a DJ gig or a disco with separate tickets) at the venue during the same evening, report them as separate events: as a live gig and an event with recorded music.

Live gigs (lower report section)

• Click Add event or, if no events have been organised, No events this month.
• Enter the requested event information (date, performer and/or event name, ticket price) and click Continue to next step and Save event.
• Repeat the previous step for all live gigs of the month.
• When you have entered information about all gigs, click Go to confirm.
• Check that the information is correct and click Confirm events of the month.

PLEASE NOTE! If we have already been informed of the event through other channels, for example the performance notification submitted by the performer, before the confirmation deadline, the event will be available in the Information missing status on the event list.

In such case, following these instructions:

1. Check that the information is correct.
2. If necessary, correct or supplement the information.
3. Save event.
4. Confirm event.

If you have reported the event information in the web service but have not yet confirmed it, you can edit the information in the web service yourself.

• Reported or still incomplete but not yet confirmed information about events organised under the Event Licence can be found under the headings Unconfirmed events and Incomplete events.
• You can view information about events organised under restaurant licences by clicking the month name in the list in the year and month view.
• If you have multiple venues, first click the name of the venue you want to see the list of the year and month view.

When the information is confirmed, you can no longer change or edit it yourself. If the information is incorrect, contact our customer service to have it corrected.
